Position Overview & Specifications

About the role

Are you a proactive and highly motivated individual who is passionate about working independently on a variety of office managerial duties? We are looking for a capable, dedicated and service-oriented professional to support an Executive within our Group Asset Management Unit.

In this role your main responsibilities/tasks include:

  • Provide professional, proactive secretarial and advanced administrative support
  • Effectively manage the executive's calendar and be the "gatekeeper" of scheduling and meeting availability
  • Prioritize conflicting needs, handle matters expeditiously, proactively and follow through on tasks to successful conclusion
  • Proactive and effective email inbox management (monitoring, flagging, processing and diarising follow ups) and assist on other communication from brief instructions or notes
  • Arrange travel schedules for the executive whenever needed and in accordance with T&E policy. This includes planning, booking, visas, preparing itineraries and providing all documents for meetings/presentations during travel
  • Independently coordinate meetings, including use of videoconference and organize, as needed, events or conferences, both internal and external to the company, by arranging facilities, issuing information and/or invitations support
  • Establish and maintain good relationships with assistants of key internal stakeholders, as well as external partners
  • Work closely and effectively with the Executive and their management team to keep them well informed of upcoming commitments and responsibilities, following up appropriately

About you

  • Significant previous EA experience working for Senior executives preferably in international environments
  • Strong organizational skills that reflect ability to perform and prioritize tasks efficiently and with attention to detail
  • Able to work in high pressure work environment
  • Strong time management capability
  • A teammate and a self-starter who thinks ahead, is result oriented and strives in a dynamic and professional environment
  • Culture-driven and passionate about playing a key role by providing support to the member of the executive team
  • Dependable, discreet, trustworthy and high integrity
  • Very strong interpersonal skills and the ability and desire to build relationships
  • Excellent verbal and written English communication skills
  • Demonstrated proactive approach to problem-solving, with strong decision-making ability
  • Highly resourceful team-player, able to work effectively with global, multi-cultural team in multiple locations
  • Comfortable working in a fast-paced environment, able to interact with staff at all levels and work effectively in a team environment, representing and adhering to Swiss Re's values and behaviours
  • Proven ability to handle confidential information with discretion, be adaptable to competing demands, comfortable working under deadline pressure and be customer/client oriented
  • Proficient in Microsoft Outlook, Microsoft teams, Word, Power Point. Experience with internal web-based applications such as SharePoint and MySpend also advantageous
  • Curious, forward looking, and actively seeking improvement and growth opportunities
